DOCUMENT MANAGEMENT

A large percentage of corporate knowledge is held in documents. The Document Management System (EDMS) is core to the Intralogic solution – giving businesses the power to capture, manage and share documents safely and securely. The Intralogic EDMS is web based which means you can access, upload and manage documents from anywhere, as long as you have access to a web browser. The EDMS is also seamlessly integrated with the desktop allowing you to use word and other MS office tools exactly as you do now.

The DMS safely captures extensive information about your documents (called ‘metadata’) and ensures that all of your organisation’s documents are automatically indexed so as to provide database, metadata and free text (Google style) searching. The EDMS supports auto reviewing and validity date ranges, linked documents, workflow approval and a host of other powerful features.

Documents are secure using Intralogic's extensive security system which ensures only users who should have access do have access. EDMS is completely integrated with the community structure that brings people and documents ‘together’. Project based documents, search, versioning, bulk loading, distributed file architectures and document control is managed across the enterprise.

 

ONLINE FORMS

Online Forms are web-based forms that you can create easily replacing your businesses paper forms. Online forms capture information no information is ever lost. Online forms are flexible, featuring self-reformatting based on content and rules, and cell based arithmetic and hidden or suppressed fields. In combination with Intralogic Workflow module, your organisation will have a comprehensive business process automation module providing operational efficiencies, consistency, and governance. No more paper forms lying around the office or getting lost in the in-tray.
The Form Builder application lets anyone create forms easily and quickly. Comprehensive forms administration tools allow you to control who accesses what forms, and who can access and report on form data.

 

PEOPLE MANAGEMENT

People management is core to Intralogic letting you categorise profile everyone who logs on, enabling infinite variations to how and what the view and access. Combined with security built into other parts of the Intralogic system you can completely customise access to meet the needs of individual staff members, partners and customers.

 

WORKFLOW

The power behind business process automation is a comprehensive and flexible workflow engine. Workflows can be applied to online forms, document approvals, document reviews, content modification and transmittals, automating all typical business processes. This increases productivity and lowers the chance for error.
Intralogics' easy-to-use Workflow builder can be used by anyone, not just technical staff. Rich with functionality, it features built-in email notification process that notifies users and submitters when approvals are moving through the system, rule based conditional branching, form field calculations, step escalation and SLAs. Workflow paths can be dynamically edited by those with permissions. Workflow reporting allows administrators review progress and report workflow statistics.

 

COMMUNITIES (of Practice) – or Virtual Sites

Communities are used to categorise your organisation by Divisions, Business units, Departments, Geographical Location, Policies, Projects, Teams, Social Groups etc. They allow a virtual world within your intranet, where people and information come together. Communities provide diversity, enabling your intranet to have different access gateways and serve different content to different peer groups. Communities promote collaboration, sharing, and secure customer or partner access.

 

ENTERPRISE SEARCH

Intralogic has an advanced search system giving Google style search across every document, spreadsheet, PDF, online form, CAD drawing, workflow record, in fact all of the company’s records and content. All content is automatically indexed, even the text in CAD drawings and PDF documents, so you get everything you may want, immediately. Advanced searching gives powerful filtering and result-set formatting. All result sets are subject to Intralogics' powerful permissions and access rules, ensuring everyone sees the results they have access to.

 

BULK EMAIL MANAGEMENT

Intralogic includes a bulk emailing facility that enables you to send emails to all people in the database - be it communities of people, individuals, or a group.

 

EVENT CALENDAR MANAGEMENT

Intralogics' event calendar lets you broadcast corporate and community events, whilst also keeping track of personal events. With this feature, users can access a single calendar combining all their events - Corporate, Community and Personal in one prominent screen location.

 

NEWS, ANNOUNCEMENTS AND SAFETY ALERTS

With Intralogics' news ticker and announcements, you can broadcast messages, images and content to your staff, partners and customers. News and announcements can be tailored to different user groupings and can be date-stamped to ensure currency. Safety Alerts can be prominently displayed to ensure everyone gets the message.

 

ONLINE SURVEY MANAGEMENT

The survey management feature in Intralogic enables the creation, updating and activation of surveys. There is no limit to the number of surveys that you can conduct – and no limit to the number of questions in these surveys.
All survey results are tallied in ‘real time’ - as respondents complete their survey. What’s more, surveys can be targeted to individuals as well as groups - and user will only see a survey if they are a target group to complete the survey.

 

IMAGE LIBRARY MANAGEMENT

Intralogic contains two types of image repositories; Image library for Homepage management, and; Forms image library for forms creation. The image library gives users fast and equal access to images corporate wide.

 

RESOURCE BOOKING MANAGEMENT

All ‘bookable assets’ such as meeting rooms, company cars, equipment etc, the resource booking feature in Intralogic allows you to add, view and manage all your resources organisation wide. Resource booking can be viewed either in calendar format – showing all bookings created by users for either a day/week, or resource format – showing all bookings for a specific resource for that day/week.

 

ONLINE FORUMS, CHAT ROOMS AND BLOGS

Forums, Chat rooms and Blogs promote information and idea sharing across your organisation. All three social networking tools have been designed to offer businesses a range of methods to encourage staff interactions. Staff can post single messages or post questions and ideas allowing people to respond as part of an online discussion, or create discussion boards. Blogs can be created on any topic and form part of the information / knowledge store related to communities. Chat rooms are less formal again, and provide non-recorded communications. Online forums, Chat rooms and Blogs provide a business focussed social networking capability adding bringing less formally structured information into the your business knowledge bank.

 

QUALITY ASSURANCE AND RISK MINIMISATION
