Document Management

A large percentage of corporate knowledge is held in documents. The Document Management System (DMS) is core to the Intralogic solution – giving businesses the power to capture, manage and share documents safely and securely. DMS provides organisational efficiencies, compliance and governance, and can be implemented across large diverse organisational structures, and is equally suited to small enterprises as well as  large global agencies. The Intralogic DMS is, naturally, web based which means you can access, upload and manage documents from anywhere, as long as you have access to a web browser. Importantly, the DMS is designed from the outset using web based technology, it is not compromised by having its rootes in older client/server technologies.The DMS is also seemlessly integrated with the desktop.



The DMS safely captures extensive information about your documents (called ‘metadata’) and ensures that all of your organisation’s documents are automatically indexed so as to provide database, metadata and free text (google style) searching. DMS supports auto reviewing and validity date ranges, linked documents, and a host of other powerful features.

Documents are secure using using Intralogics extensive security system which ensures only users who should have access do have access. DMS is completely integrated with the community structure that can brings people and documents ‘together’. Project based documents , search, versioning and document control is managed across the enterprise.

Integration with MS Office

Using our office add-in, users can download and edit documents and upload directly from Word (or Excel or other Office systems) seemlessly from the Microsoft office environment. The document are stored in their native format, with only document indexes and metadata stored in the database.


Collaborate 


Bulk Loading and Bulk Downloading Facilities ensure rapid management of large volumes of documents. Because anyone in your organisation can upload documents, your business benefits from more effective access to information and increased collaboration as information ‘silos’ are eradicated. There are no geographical limitations to access the DMS. Users could be simultaneaously uploading and accessing documents stored on a server in New York from London, Rome and Papua New Guinea. Global collaboration projects become easy to manage.



Version Control


The version control feature in the DMS enables you to have one version of a document available to all, adding new versions as they are updated. This way all employees access the latest versions, but you also retain a copy of all previous documents. At any time you may revert to an old version of the document. Document lifecycle is managed with all document status changes and checkin-checkout and modification history being auditable.


Support for MS Distributed File System (DFS)

Where remote access from the server can be slow due to communication limitations, Intralogic DMS supports Microsoft DFS. Examples are where a Mining head office is in a city, but several site offices exist in remote locations or in less well developed countries. Under DFS, a remote server(s) is configured to mirror and synchronise with the main server. Documents can be instantly downloaded from the remote server by local staff, but uploaded transparently to the central server with auto-synchronisation ensuring that a virtual single copy of the document is retained. Large documents and drawings are no longer a problem where poor communications exist.
